We’re looking for an Administrative Operations Coordinator who thrives on keeping things organized, on track, and humming behind the scenes. If you love checklists, systems, clean calendars, and creating order from chaos — this is your zone.

This is not just a support role — it’s a mission-critical seat that enables the entire team to focus on what they do best.

Responsibilities

  • Manage calendars, confirm appointments, and prevent scheduling conflicts for the executive team.
  • Handle administrative tasks (emails, bills, invoices, travel, errands, etc.) with precision and speed.
  • Keep all personal and business logistics flowing — from house maintenance to document renewals.
  • Track personal and company expenses, renewals, and account info in simple dashboards.
  • Anticipate problems and handle them without requiring the team to jump in.
  • Create and maintain SOPs, checklists, and workflows that simplify recurring tasks.
  • Research tools, vendors, and services to save time and reduce friction.

Results

  • Calendar is accurate and fully managed, with zero missed or rescheduled appointments due to oversight.
  • Errands, logistics, and tasks are completed on time with minimal follow-up.
  • Emails, bills, and renewals are flagged, paid, and tracked proactively.
  • Owner feels “offloaded,” not burdened with details or repeat issues.
  • No recurring mistakes — issues are solved and prevented from happening again.
    Systems, vendors, or tools are proactively recommended and implemented to improve efficiency.
  • Owner reports 5–10 hours per week of time savings.
  • Personal life and business operations run with minimal interruptions or delays.

Requirements

  • Proven experience supporting an executive or small team in a fast-paced environment.
  • You love structure, checklists, and simplifying things.
  • Hyper-organized — nothing slips through the cracks with you.
  • Excellent written and verbal communicator.
  • Tech-savvy with tools like Google Workspace, CRMs, Slack, and task managers.
  • Emotionally intelligent and service-minded — you like making others’ lives easier.
  • Flexible and reliable — you handle surprises without freaking out.
  • Bonus: Experience in real estate, bookkeeping, or operations.

Location

  • Based in Orlando/Central Florida
  • Some in-person travel required for seller appointments
  • Hybrid office or work from home environment

Compensation

  • $45,000 – $70,000/year + benefits + performance bonuses
  • The OTE range may be inclusive of several levels that would be applicable to the position. Final earnings will be based on a number of factors including experience, execution quality, reliability, and problem-solving ownership. This range includes base salary and performance bonuses (see below).
